Terms and Conditions

Welcome to Pencwarre Farm Visits & Experiences!

We want you to have a lovely, safe and memorable time meeting our Valais sheep and enjoying our farm experiences, including afternoon tea.
Please read the following information before booking and visiting us.

1. Bookings and Payments

  • Your booking is confirmed once payment has been received, unless we agree otherwise.
  • Please check your booking date, time and number of guests carefully.
  • Please arrive on time. Late arrival may mean you miss part of your experience.
  • Extra guests can only attend with our agreement and may incur an additional charge.

2. Visiting Our Farm
Pencwarre is a working farm. You may encounter mud, uneven ground, grass, gravel, farm equipment, livestock and other typical farm conditions.

  • Please wear suitable clothing and sturdy, closed-toe footwear.
  • Stay in the areas designated for visitors.
  • Do not enter farm buildings, fields or animal areas unless invited.
  • Follow all instructions given by our team.
  • Vehicle parked and damages at own risk.

3. Meeting Our Valais Sheep
Our Valais sheep are friendly characters, but they are animals and can sometimes behave unexpectedly.
They may:

  • Nibble your clothing.
  • Catch coats or clothing with their horns.
  • Move suddenly or push against you.

Please approach them calmly and follow our instructions.
Do not chase, frighten, feed, grab or handle the sheep unless we have given you permission.
We may stop or change an animal experience if a sheep becomes unsettled or if we have concerns about safety or animal welfare. We cannot guarantee that every guest will have direct contact with the sheep.

4. Children and Supervision

  • Children must be supervised by a responsible adult at all times (no children under 4).
  • Please do not allow children to run towards, chase or frighten the sheep.
  • Adults are responsible for ensuring that children follow our safety instructions.
  • We may restrict participation if we believe someone is at risk.

5. Health and Safety
For everyone's safety:

  • Please follow all instructions from our team.
  • Do not touch farm machinery or enter restricted areas.
  • Do not attend if you are under the influence of alcohol or drugs.
  • Please tell us in advance about any accessibility requirements or other needs that may affect your visit.

We may refuse entry or ask someone to leave if their behaviour puts themselves, other guests, our staff, animals or property at risk.

6. Animal Welfare and Hygiene
The welfare of our sheep always comes first.
Handwashing facilities available - own risk. Please wash your hands before and after contact with sheep and prior to eating/toileting etc.
We may limit contact with the animals if they need rest or if there are health or welfare concerns.
Please do not bring your own animals onto the farm.

7. Outdoor Afternoon Tea and Weather
Our afternoon tea takes place outdoors, with a marquee providing shelter (spring & summer only).
We expect the experience to go ahead in normal British weather, including light rain, showers, cloudy skies and cooler temperatures, provided it remains safe.
We will not normally cancel simply because it is raining.
We may need to cancel, postpone or rearrange the experience if there are:

  • Official severe weather warnings.
  • Storms, lightning or dangerous winds.
  • Heavy snow, ice or flooding.
  • Extreme temperatures that could affect safety.
  • Damage to the marquee or equipment.
  • Unsafe ground conditions or other serious weather-related risks.

We will make a reasonable decision based on safety, the condition of the marquee and the welfare of our animals.

8. If We Need to Cancel or Rearrange
Sometimes circumstances beyond our control mean we cannot safely go ahead.
If we need to cancel, postpone or rearrange your experience, we will contact you as soon as reasonably possible.
Where an experience is cancelled before it starts, we may offer an alternative date, subject to availability and agreement.
If an alternative date is unsuitable or unavailable, we will explain the options available in accordance with your booking terms and your legal rights.
If an experience has already started but must finish early for safety reasons, we will consider the circumstances and any appropriate rearrangement or other remedy required by law.

9. If You Need to Cancel or Change Your Booking
Please contact us as soon as possible if you cannot attend.
Our proposed cancellation policy is:

  • 7 days or more before your visit: You may request a change of date, subject to availability.
  • Between 7 days and 48 hours before your visit: We may allow a change of date at our discretion.
  • Less than 48 hours before your visit: Changes and cancellations will normally not be accepted, except where required by law or agreed by us.
  • If you do not attend: Your booking will normally be forfeited.

Any agreed change is subject to availability. Additional charges or price differences may apply if these were disclosed in advance.
These arrangements do not affect any legal rights you may have.

10. Food Allergies and Dietary Requirements
Please tell us about any food allergies, intolerances or dietary requirements when booking or atleast 72hours prior.
We will do our best to accommodate your needs, but we cannot guarantee that every requirement can be met or that cross-contamination will not occur.
If you have a serious allergy, please contact us before booking so we can discuss whether the experience is suitable.

11. Photography
You are welcome to take photographs for personal use, provided this does not disturb the sheep or other guests.
If we wish to use photographs of guests for promotional purposes, we will handle this in accordance with applicable privacy and data protection requirements.
Please let us know if you have any concerns about being photographed.

12. Personal Belongings and Damage
Please look after your personal belongings during your visit.
Guests may be responsible, in accordance with the law, for damage caused by their deliberate, negligent or reckless actions.

13. Safety and Liability
We take reasonable steps to keep our guests safe and care for our animals.
No pregnant persons please - to protect the unborn child during lambing periods - thanks for understanding.
By visiting, you acknowledge that this is a working farm and that animal behaviour and weather conditions can be unpredictable.
Nothing in these terms removes any legal rights you have or excludes liability that cannot lawfully be excluded.

14. Changes Outside Our Control
Occasionally, severe weather, emergencies, animal-welfare concerns, disease outbreaks or other unexpected circumstances may affect your experience.
If this happens, we will do our best to keep you informed and explain the available options.

15. Agreement
By booking and attending Pencwarre Farm Visits & Experiences, you agree to follow these terms and all reasonable safety instructions given by our team.
